Roles & Permissions

EMS SOAP uses role-based access control (RBAC) with two roles:

Manager

Can manage the team and view organization analytics. Has access to user management, usage tracking, grading analytics, and certification tracking.

Member

Standard access to ePCR Narratives and Medical Protocols features. Can generate narratives, query protocols, and manage their own account settings.

Inviting Members

Managers can invite new members to the organization:

  • Individual invitations: Enter an email address and select a role. The invitee receives an email with a signup link.
  • Bulk invitations: Upload a CSV file with email addresses to invite multiple users at once.

Invitations include a secure verification code. New users are automatically added to the organization upon completing signup through the invitation link.

Managing Members

From the Manage > Users page, managers can:

  • View all organization members and their roles.
  • Change a member's role (manager or member).
  • Remove members from the organization.
  • View individual usage statistics for each member.
  • Track pending invitations.

AI Model Configuration

Managers can configure which AI models are used for SOAP narrative generation and medical protocols queries. Available models include options from OpenAI and Google, each with different performance characteristics and cost profiles.

Model settings are configured per-organization, so each agency can choose the model that best fits their needs and budget.

Usage Tracking

The Manage > Usage page provides detailed analytics on your organization's AI usage:

  • Total queries by type (narratives vs. protocol queries).
  • Usage trends over time with customizable date ranges.
  • Per-user usage breakdown.
  • Token consumption and estimated costs.
  • Export usage data for reporting purposes.

Grading Analytics

EMS SOAP automatically grades generated narratives for completeness and quality. The Manage > Grading page shows:

  • Average narrative grade across the organization.
  • Grade distribution (A through F).
  • Commonly missed documentation elements.
  • Grade trends over time.
  • Per-user grading statistics with detailed breakdowns.

Organization Controls

Managers can manage several organization-level settings including:

  • PII Detection: Enable or disable the client-side PII detection system that warns users before sending potentially sensitive information.
  • Medical Protocols: Enable or disable the Medical Protocols feature for the organization.
  • Custom Prompts: Configure organization-specific AI prompts to customize how narratives are generated.
  • Quick Reference: Customize the reference content shown alongside the narrative and protocols chat interfaces.
